Shared Services Manager - Aberdeen

Overview:

 

The Shared Services Manager is responsible for ensuring the smooth running of the Shared Services function, in addition to leading and motivating regional teams. You will collaborate with key stakeholders within Operational departments to ensure prompt and accurate service delivered to required standards under common process. You will understand the business needs and align functions with company procedures and policy. The Shared Services Manager is also ultimately responsible for the accurate processing of all transactions encompassing: account payable, sales invoicing, credit control and collections, and vendor payments.

 

Key responsibilities:

 

  • To lead and motivate the shared services team whilst ensuring that operational day to day tasks are delivered in a timely and accurate manner
  • Mentor, coach and develop individuals to ensure that the Share Services Team possess the right skills and knowledge to undertake the tasks required
  • Develop and improve systems and processes to find maximum efficiencies
  • Champion the integration of technology and innovation to improve accuracy and timeliness of activities
  • Understand the business needs and organise teams to meet expectations in line with company procedure and policy
  • Travel as necessary to manage international teams with potential for further expansion
  • Develop best practice processes for all shared services functions standardising across all locations
  • Work closely with senior management and ERP team for both system deployment activities and delivery of automation benefits
  • Develop and maintain good working relationships with stakeholders
  • Update and maintain processes and procedures in a timely manner
  • Manage cash cycle from accurate sales invoice preparation and issue through to timely collection and allocation of cash receipts
  • Ensure purchase invoices are processed and paid on time with queries resolved promptly
  • Meet all month end deadlines in line with expectation. Constantly seek to accelerate close process
  • Ensure both customer and supplier accounts are maintained and continuously reconciled
  • Ensure bank account and petty cash transactions are posted appropriately and accurately
  • Ensure time writing completed in an accurate manner
  • Ensure that the Share Services Team is adequately resourced
  • Conduct regular staff appraisals to provide feedback of performance, managing conduct and attendance as required to ensure excellence of service

 

Who are we looking for:

 

  • Strong people management experience, ideally supporting and developing remote teams across international locations
  • Previous experience of managing a high volume, transactional accounting team
  • Excellent working knowledge of finance concepts
  • Systems improvement and/or implementation experience desirable
  • Confident, driven and energetic with a real will to succeed
  • Superior communication and relationship management skills
